  Grant Proposal Submission Procedures

In accordance with the USM Policy on Solicitation and Acceptance of Sponsored Projects (104.0 IV-2.00) all grant proposals must be reviewed by institution personnel for consistency with all University System and institutional policies, for appropriateness to the mission of the institution, and for liability assessment before they are submitted to sponsors. The FSU Office of Research and Sponsored Programs (ORSP) is responsible for ensuring compliance with this policy, for facilitating the grant proposal internal review process, and submitting all grant proposals.

Processing a Grant Proposal

The Principle Investigator (PI) is responsible for completing an FSU Internal Grant Proposal Review Sheet. The ORSP can assist PIs in completing the Internal Grant Proposal Review Sheet if necessary. This internal routing sheet provides essential summary information about the proposal as well as required signatures of approval.

The Internal Grant Proposal Review Sheet and a copy of the grant proposal must be submitted to the ORSP at least five business days before the proposal due date. The ORSP is responsible for obtaining review and approvals, institutional signatures on forms required by sponsors, signatures on institutional letters of support, and submitting the grant proposal.

Copying and Mailing the Grant Proposal

The ORSP will copy grant proposals at no cost to you or your department. Submit the original grant proposal (clean and unstapled, please, or digital) and ORSP personnel will make the number of copies required by the sponsor. We can provide a copy to the PI and his or her Department Chair/Director, if desired.

The ORSP will mail or FAX your grant proposal and, if applicable, submit it electronically. The ORSP will send your grant proposal by US Post Office first class or overnight mail if the deadline permits. Otherwise, it will be sent overnight by commerical carrier.


Grant Proposal Submission Procedures Checklist

Discuss your grant proposal with your Department Chair/Supervisor during preparation so that he/she is aware of your proposed project and agrees to commit your time and other departmental resources to the project if funded.

Discuss commitment of institutional resources for your project with the appropriate FSU personnel during proposal preparation.

If personnel salaries will be included in your budget contact the Office of Human Resources (OHR) to obtain information on compensation level for all positions.

Contact the Office of Research and Sponsored Programs (ORSP) if you need assistance with grant proposal development at least 3-4 weeks before the deadline.

Complete a copy of the FSU Internal Grant Proposal Review Sheet.

Submit a copy of the Internal Grant Proposal Review Sheet and a copy of the grant proposal to the ORSP at least five business days before the proposal due date. The ORSP submits all grant proposals to sponsors.

Contact the ORSP as soon as you receive notification of the status of your grant proposal (acceptance or rejection).
