Database Mailing Instructions

 

First time users please contact mail department at extension 4712 for instructions.

These instructions assume that the data is an Excel file or a CSV file. When extracting data from PAWS via Query, download the results as a CSV file:

 

 

 

Headings are required. Make sure line #1 has headings like First Name, Last Name, Street 1, Street 2, City, State, ZipCode.

 

Special characters like commas and periods cannot be contained in the data. To remove them, do a CTRL-H (Find and Replace):

 

 

Find a comma and replace with nothing. Click on the Replace All button.

Repeat this process for a period to finish cleaning up the data.

 

 

Do a File -> Save As:

 

 

 

Save the file to the U drive in the Duplicating Directory (U:\Duplicating).

Under Save As Type, change to Text (Tab delimited) (*.txt).

 

 

 

Notify mail department at extension 4712.
